How do I set up a 3rd party email server? - Google Gmail

Please note: It may be appropriate to have your district IT department execute the Gmail configuration steps.

Google Gmail is no longer supporting older “less secure” connectivity for sending emails.  Google Gmail now requires 2FA and an App-Specific Password to be set up for the email account.

To enable 2-Step Verification (2FA) and application-specific passwords for your Gmail account, first enable 2-Step Verification in your Google Account settings. Then, create an app password under the "App passwords" section in your Google Account security settings. This password will be used to authenticate when connecting Gmail to other apps or services that don't support Google login. 

1. Enable 2-Step Verification:

  • Go to your Google Account settings.
  • Navigate to the Security section.
  • Select 2-Step Verification.
  • Follow the on-screen instructions to set up 2FA (e.g., adding a phone number, using a physical security key, or using Google Authenticator).

2. Create an App Password:

  •  After enabling 2FA, return to the Security section in your Google Account settings.
  • Locate the App passwords option and click on it.
    • You may need to sign in again to confirm your identity.
  • Choose Select app and select the app or device you're using (e.g., "Mail" or "Other" for a custom name).
  • Choose Select device and select the device you're using (e.g., "Other" for a custom name).
  • Click Generate.
  • A new app password will be displayed. Copy this password and store it securely.

Note: App passwords are only visible once. You may need to revoke the app password and create a new one if it is lost.

Either an admin within EZRouting can update the email credentials and test the connect in the General Settings or we can help with setting up that connection in EZRouting.

If you need assistance configuring EZRouting we will need the following:

  • Email Server Name (e.g. smtp.gmail.com)
  • Port for SMTP: (e.g. 465 for secure SMTP normally)
  • Username to login (this would be the username for the email address provided or the email address itself)
  • Application Specific Password for the login
