INTRODUCTION
Presenter: Hi everyone! Welcome and thank you for joining us today. Nan has sent out a download in the chat that contains the PowerPoint we’ll be using during today’s presentation. I’ll be showing you some of the features live on screen, and the PowerPoint will provide step-by-step instructions you can refer to later.
Before we begin, I just want to make sure everyone knows that if you ever need assistance using Easy Routing, you can contact us through the live chat on your site. You’ll find a button at the bottom right of your screen. Let me share my screen so you can see what I’m talking about.

NEW FEATURES OVERVIEW
We’ve recently added two key features:
-
YouTube How-To Videos – When you hover over certain features, you’ll see a video button. Clicking it will launch a short video (usually one to two minutes long) that walks you through how to use that feature.
-
System Messages – You can now receive notifications from us in the System Message center. Click the person icon in the top right corner and select "System Message." If there’s a new message, you’ll see a red “New” label.
This is where we’ll also post recordings of webinars like this one, so you can always refer back to them.
ROUTING STUDENTS: ROUTES TAB
Let’s start in the Routes tab. I’ll demonstrate how you can route students directly from the map and from within individual routes.
You can display your routes on the map by clicking the “eye” icon next to each route name on the left-hand side. If you want to see all routes at once, go to Operations > Show All Routes.
To filter what’s displayed:
-
Use Trip Sessions to see AM or PM trips.
-
Set a time range (e.g., 7:00–8:00 a.m.).
-
Filter by school, region, or vehicle.
NEW: Show Students Tab
-
Use this to view students by routing status (unrouted, routed, or partially routed).
-
You can also color-code by school or status and filter by school or grade level.
INDIVIDUAL STUDENT ASSIGNMENT
Click on a student’s name in the list to highlight them on the map. Make sure routes are visible. Click on the student’s dot, choose a route, pick a stop, and assign the student. If needed, check the box to assign them to both AM and PM trips.
GROUP ASSIGNMENT
-
Use the Circle Students button to select multiple students on the map.
-
Click Assign, select a route, and choose a stop.
-
You can also create a new stop.
AUTO ASSIGN WITHIN A TRIP
Open a specific trip and click the plus sign under the trip name to open the Add New Trip Stop / Assign Students menu. Use the auto-assign button to let the system place nearby students.
Manually assign by clicking a student dot and dragging it to the desired stop. Remove an assignment by clicking the purple line.
You can also:
-
Add a new stop directly on the map.
-
Let the system optimize the stop sequence.
-
Manually adjust stop order and times.
ASSIGNING STUDENTS TO A STOP
Go to the Trip Stop Details > Students tab. Use:
-
The green button to search nearby eligible students.
-
The +1 button to manually add a student by name.
TABLET INTEGRATION: ASSIGN FROM TABLET HISTORY
If you use Easy Routing tablets:
-
Go to Show Tablet History after a route is run.
-
View scanned students (green names).
-
Select them and click Save to assign.
ROUTING FROM STUDENTS TAB
If a student joins mid-year:
-
Go to the Students tab.
-
Click Search and Add Bus Schedule.
-
View available stops within walking distance.
-
Select one and choose a trip.
You can also:
-
Manually Add Bus Schedule for known trips.
-
Create a stop directly at the student’s address.
TRANSPORTATION PLANS
Use transportation plans for complex needs:
-
Specify from/to addresses by day of the week.
-
Match plans with bus schedules.
-
Assign students via Search and Add and confirm alignment.
If the bus schedule doesn’t match the plan exactly (e.g., different address number or incorrect day/time), the student will appear as partially routed.
TRANSPORTATION PROGRAMS
Use transportation programs to group students with similar needs (e.g., all special education students or a daycare group). Set up programs under Settings > Transportation Program and assign entire programs to trips.
BULK AUTO ASSIGN
Go to Students > Operations > Auto Assign:
-
Works for unrouted, active riders only.
-
Review proposed assignments.
-
Deselect any you don’t want.
-
Click Save Assignments.
FIXING PARTIALLY ROUTED STUDENTS
Check for:
-
Mismatched addresses between plan and schedule.
-
Incorrect AM/PM times.
-
Missing days (e.g., no Friday bus).
Correct these and re-save.
GROUP ASSIGN FROM STUDENTS TAB
Use Operations > Group Assign:
-
Draw a shape around students.
-
Select or create a stop.
-
Choose the route and direction (AM, PM, or both).
-
Save.
